1. My first step
•Project Name: Fill in a clear, concise name for your project that captures its essence. The name should be easily recognizable and memorable.
•Sponsor: Identify the project sponsor, typically a senior leader who champions the project, provides resources, and has decision-making authority. Engage with them regularly to ensure alignment and support.
•Project Manager: Specify the person responsible for day-to-day project management. They coordinate activities, monitor progress, and communicate with stakeholders. Choose someone with relevant experience and strong organizational skills.
•Start & End Dates: Define the project timeline with realistic start and end dates. Be specific, but allow some flexibility for unforeseen challenges.
•Purpose & Business Case: Clearly articulate the project's purpose, objectives, and how it aligns with the organization's goals. Use this section to build a compelling business case, highlighting the project's value and benefits. Quantify the expected outcomes whenever possible.
•In Scope: Clearly define what's included in the project scope. Be specific and detailed to avoid confusion or scope creep later. Use bullet points for clarity.
•Out of Scope: Explicitly state what's excluded from the project. This helps manage expectations and maintain focus. Again, use bullet points for easy reference.
•Key Deliverables: List the main outputs or products the project will produce. Be concrete and measurable, so everyone knows what success looks like.
•Milestones & Timeline: Outline the key milestones and their target dates. Use a Gantt chart or similar visual aid to show the project timeline and dependencies. Regularly update this section to track progress.
•Team & Roles: Identify the core project team members and define their roles and responsibilities. Ensure everyone understands their part and has the necessary skills and capacity. Consider using a RACI matrix for clarity.
•Budget & Resources: Detail the financial and non-financial resources required for the project. Include personnel, equipment, materials, and external costs. Monitor expenses closely and adjust as needed.
•Risks & Constraints: Identify potential risks that could impact the project, and develop mitigation strategies. Also, list any constraints or limitations that could affect the project's scope, timeline, or resources. Regularly review and update this section.
•Assumptions & Dependencies: State any assumptions made during project planning, and list any external dependencies that could influence the project's success. Validate assumptions and manage dependencies proactively.
•Key Stakeholders: Identify the main stakeholders who have an interest in or influence over the project. Analyze their expectations, and develop a communication and engagement plan to keep them informed and supportive.
