About this process

Use right after surveys and user interviews to evaluate and group the insights. Describe your observations, how you plan to use the findings, what will remain under observation, what will be improved, the timeline for those improvements, and which assumptions were confirmed or remain as open questions.

2. Analyze the Response Rate

Did you get enough responses for meaningful data?

3. Review Feedback Quality

Are the responses detailed and insightful? Are customers providing actionable feedback?

👀🦵Do Next:

1.Categorize responses into themes (e.g., pricing, product features, support).
2.What are the recurring pain points, requests, or areas of satisfaction? Look for trends that multiple respondents mention.
3.Prioritize the most mentioned issues for improvement or consider adding them to your roadmap.
4.If feedback is vague, consider reaching out for clarification.

Important💯💥

Users and clients may describe their symptoms or suggest solutions, but those solutions may not always be the best or fully address the problem. Use critical thinking to explore and understand what the actual issue is and why the user is expressing their concerns the way they are. Don’t take their direct feedback as the final decision. Instead, use it as an opportunity to dig deeper into the reasoning and uncover the root cause, allowing you to determine the best solution.

4. Segment Responses

How do different customer segments (e.g., new vs. long-term users, large vs. small companies) respond? Do specific groups have unique concerns?

🦵🦿Do Next: Tailor follow-up actions to different customer groups. Address specific needs based on their feedback.

5. Respond to Urgent Concerns

Are there any critical or urgent issues (e.g., dissatisfaction, bugs) that need immediate attention? If so, reach out to these customers personally, acknowledging their feedback and outlining next steps.

6. Which suggestions can be realistically implemented? What areas need further exploration?

Create an action plan. Communicate planned changes or improvements to your customers, especially those based on their feedback.

7. General Notes

What does the feedback mean for your overall strategy? Are there specific areas the team should focus on?
