1. Learn about different onboarding methods and channels...

👉Learn about different onboarding methods and channels, and choose the ones that make sense based on your resources, time constraints, and goals. Evaluate how you can easily validate whether those changes work—avoid making too many changes at once, or you may not be able to identify what is working and what isn't.

Effective onboarding techniques are crucial for ensuring that users have a smooth and engaging experience with your product from the start.

👀🤩Here are some of the most effective techniques:

1. Personalized Welcome Experience

What It Is: Tailoring the onboarding flow to the user's role, goals, or previous experience with similar tools.

2. Interactive Product Tours

What It Is: Step-by-step guides within the product that show users how to perform key actions.

3. Progressive Onboarding

What It Is: Gradually introducing features as the user becomes more comfortable with the basics.

4. In-App Tooltips and Hints

What It Is: Contextual help and tooltips that appear as users interact with certain features for the first time.

Why It Works: Provides relevant information exactly when it’s needed, reducing the cognitive load of learning everything upfront.

5. Gamification of Onboarding

What It Is: Using game elements such as achievements, points, or progress bars to motivate users to complete key onboarding tasks.

6. Welcome Emails with Value-Added Content

What It Is: Sending a series of onboarding emails that provide tips, feature highlights, and success stories from other users.

7. User Segmentation and Tailored Onboarding Paths

What It Is: Offering different onboarding paths based on the user's industry, team size, or specific goals.

Why It Works: Personalized onboarding helps address specific needs, increasing the likelihood of user satisfaction and retention.

8. Video Tutorials and Walkthroughs

What It Is: Short, engaging videos that show how to use key features.

Why It Works: Some users prefer watching videos over reading instructions, and visuals can make complex steps easier to understand.

9. Onboarding Checklists

What It Is: A list of tasks users need to complete to get fully set up, often embedded in the product itself.

10. Access to Customer Support or Live Demos

What It Is: Offering easy access to customer support via chat, video call, or live demos with real-time assistance.

11. Community Access and Peer Learning

What It Is: Providing access to user communities or forums where new users can learn from others.

3. 🧑‍🚒🧑‍🎤🧙‍♀‍Assign Accountability

Every communication channel needs to have an owner. This person will be responsible for ensuring that everything runs smoothly and that the necessary touchpoints are covered. For example, one team member might own email communication, while another handles in-app notifications.

4. Measure Success

What metrics will you use to measure the success of your onboarding process? Here, you'll want to define key performance indicators (KPIs), such as:

•Time to First Value: How long does it take for a client to see the value in your product?
•Client Satisfaction Scores: Are users satisfied with the onboarding experience?
•Churn Rate: How many users drop off during the onboarding process?

  • Email Onboarding (Emails with Value-Added Content) Sending a series of onboarding emails that provide tips, feature highlights, and success stories from other users.
  • Video Tutorials and Walkthroughs Short, engaging videos that show how to use key features that can be shared by using different channels.
  • In-app onboarding (Tooltips and Hints) Contextual help and tooltips that appear as users interact with certain features for the first time.
  • Access to Customer Support, Live Demos or Webinars Offering easy access to customer support via chat, video call, live demos with real-time assistance or even an invitation to a webinar.
  • Onboarding completion rate: the % of users who sign up for your platform and ultimately complete the onboarding flow.
  • User drop-off points: the points in your onboarding flow, identified via product analytics, that users tend to drop off.
  • Retention rates: the % of users still active on your platform within a given period.
  • First impression Immediately after logging in for the first time, they’re asking themselves questions like: What's my first impression of it? Does it look good and professional? Would using this with my team and clients help them trust me? How can this platform help me in my day-to-day work? Does this platform offer me something that my existing tools don’t? How easy is this platform to use? Is this worth dedicating money from my limited budget? Where can I find all the information about pricing and how much will have to pay for my whole team?

  • Aha! moment A helpful way to look at the desired outcome of this stage is to see it as the place where we’re taking users as fast as possible to their “aha!” moment—the point at which users understand that your platform offers them something important. Avoid overwhelming the user with hundreds of tips and options. They have one thing in mind they want to try or understand on your platform. Help them get that one thing done quickly and clearly, without bombarding them with long, ongoing tips that only get in their way. Focus on making the experience fast and seamless, so they feel like they've always known how to use your tool—not on highlighting your features. How can you make them feel like they reached the "aha" moment on their own and that they were already a natural at it?
  • Secondary user onboarding
  • Discovering your product Secondary user onboarding is where users, enthusiastic from recently experiencing their “aha!” moment, are invited to discover your product or service’s more valuable features and benefits. Here, we introduce them to advanced features, taking them on a journey to comprehensive feature adoption. This enables them to fully realize the value of your product by understand its full potential.
  • Ongoing onboarding
  • Adoption/Retention This phase transforms users into happy users and builds customer loyalty. It’s about deepening their engagement and helping them unlock the full potential of your product.
  • Growth
  • Product Advocates This phase transforms happy users into product advocates that will bring new users to the product.
